Pulling Back The Curtain

As you probably already know, both Trevor and I own our own fitness facilities along with running everything at Habit Catalyst.


Today we both wanted to pull back to curtain a little bit and talk about what isn’t going so well in our gyms.


Being a fellow business owner, I am sure you have had your fair share of struggles and frustrations over the years. We just want to show that it does happen no matter what stage of business you are at!

Welcome Mat

I use Habit Catalyst in my own gym for a ton of different processes.  I have used it for numerous challenges.

We use it in our FF Accelerator group, our nutrition accountability program.

I am also building out a program for our on-boarding process to provide a more seamless experience.  Autoresponders are a pain in the ass to see if people are actually reading things so I am building out programs instead to some our content.

Building out all these different programs has made me think for a second about the client experience and I noticed a couple things.  

  1. It takes the client a few days to get the hang of the system.  
  2. We ALWAYS have clients want to join the day AFTER we start a program.

I bet many of you can sympathize with Number 2.  

Unfortunately, I am a pushover and I like sales so we usually let people in after the fact.

I get it, I’m a softie.  

So, I needed to come up with a way to make the client experience easier AND give myself a little buffer when starting a new program.

Here is what I came up with.  

I am calling this new “feature” the “Welcome Mat!”

The welcome mat is a 2-4 day/lesson sequence that on-boards the client to Habit Catalyst and also to the program they are embarking on.  

The length of the sequence is determined by the amount of content.  I try to keep lessons short so if I have a lot of welcome material I will go closer to 4 days and if I don’t have much I keep it closer to 2 days.  

The “Welcome Mat” also gives me time when people inevitably sign-up after we have started to get them involved without missing any of the challenge or meaty content.  

My Welcome Mat is below but  make sure to check out the “standard programs” in your HC account as I will put a generic “Welcome Mat” there in the next couple days for you to copy and paste into any of your programs.  



Lesson 1:  Welcome

Welcome to FF Accelerator, our nutrition, lifestyle, mindset, and accountability program!

Today, we are going to talk about the special education and accountability software we use to distribute your program and collect the daily check-ins.  Tomorrow, we will talk more about FF Accelerator and what it entails.    

The FF Accelerator uses a software called Habit Catalyst or HC for short.  This software was created by one of our own, Trevor, (not by him, he has no idea how to code, he’s the ideas guy) in order to run programs like the one you are about to embark on.  There was nothing on the market that could do this so he and a fellow gym owner decided to find a way to create it.  

You might have used HC before in other programs run at FF.  We use it a lot. If you are already familiar with it, great, this will be a breeze.  But, don’t be a know-it-all and be sure to still read the lesson today and tomorrow to make sure you understand everything completely.  The software is constantly evolving so things change and you don’t want to be left in the dark.  

Software Overview

The premise of the software is very simple.  We ask you to do a few things.

  1.  Every day practice the skill or habit you are working on.  

(Each day you will be given guidance on “What To Do.”   You will practice a specific skill or habit anywhere from 1 to 2 weeks.  If for some reason you need a skill modified to fit your situation, please let your coach know)

  1. Every morning answer your simple yes or no “Check-In” question.  

(Don’t feel like you need to lie and always answer yes.  We want to know how you are truly doing and being real is part of this program.  This allows us as coaches to help you rather than thinking everything is great.  Also, the check-ins will come via email or on your smartphone at 9am.  If you would like it earlier, please let us know and we can adjust that for you.)

  1.  Most days, we ask you to read a short lesson that reinforces the skills you are working on.  

(Please read these lessons each day.  They are short, most take 3-5 minutes to read.  Some days you will have a new lesson and others will be the same lesson for a few days.  If you see that same lesson a couple days in a row, don’t be alarmed, this is by design.)

Housekeeping Items

You have the ability to choose how you get your check-in question.

  1. Via email
  2. Via the app Habit Catalyst (seach Habit Catalyst in your app store, its free)

You should have already received a “Welcome Email.”  If you have not, please check your spam folder. If you still can’t find it, let us know (link to email).  In this welcome email, we give you a specific code to use if you want to download the app.  You will need to enter this code to connect the app to your account.  If you lose this code, we can always look it up for you.

If you choose not to download the app, which many of our clients choose, you will receive all your notifications via email and you will read your lessons from your internet browser.  

Even if you download the app you can still log-in to your client portal at habitcatalyst.com.  Here, you will be able to see your progress, change your preferences, and read lessons on a computer screen if you like.  

If you choose to download the app and enter in your specific code, all email communication check-ins will end.  

Note:  Anything you see in green is a clickable link.  This will open a browser on your phone or on your computer.  


Tomorrow the question will be:  Did you read your lesson yesterday?  

Since you are reading this now, you will most likely finish the lesson, so you can answer “yes” tomorrow.  

After you answer your check-in question, you will be re-directed into the software.  Scroll all the way to the bottom and you will see your lesson for that day!

Lesson 2:  Program Overview

Congratulations, you made it to Day 2.  

You should have checked in this morning, most likely with a yes, and the system has recorded it.  One thing about the system is we always ask about yesterday.  At 9am you are going to be asked how you did YESTERDAY.  When you check yes, you will get a check mark on your calendar for yesterday.  You won’t see anything on your calendar for today.  

People get confused with that part so I wanted to clear that up right away.

Let’s get down to business.

FF Accelerator

FF Accelerator is meant to be a nutrition, lifestyle, and mindset academy.  The reason we are calling it an accelerator is because it’s going to accelerate your results.

Although we will provide you with loads of education, this is just a minor component.  What is more important is taking action and practicing on a daily basis.

This idea of action is going to be a little different for each person.  Someone who is proficient with a habit might just need to dial things in, while those who are starting at zero need to simply take a step in the right direction.

If you need any assistance or need a habit modified please reach out to the coaches.  You will spend most of your time interacting with Coach Trevor, Karen, and Britt but it’s very possible you will hear from Erin, Vicki, Adam or Dustin as well.  

Our email is coach@functionalfitnessrwf.com and that is the best way to reach us.   

If you need to speak to a specific coach just address them in the salutation and we will make sure they get the email.

Habits vs Skills

Now, I want to talk about this idea of habits.  At FF, we have talked about habits for some time now.  In order to create lasting change, we need to improve our habits, our day to day activities.  We might hear us refer to these as tendencies. But, we believe that tendencies can be changed and they are changed through practice.  We don’t all of sudden say that we are going to change a habit and BAM it’s changed.

We need to practice the change.  We need to put in the effort and time.  Sometimes practice will go great and other times a win might be just showing up.  

When you practice something, what are you building?


Habits seem like something that we do or don’t do, but I think it’s deeper than that.  I think a better term for what you are going to be working on is skills.  You are going to be working on the skill of eating.  The skill of eating more vegetables.  The skill of preparing. The skill of eating slowly.  The skill of stopping when satisfied.  You get the picture.  

All of these skills make up healthy eating and living.

Just like a basketball player would work on his skills like dribbling, shooting, passing, conditioning, and defense, you will do the same with FF Accelerator.

FF Accelerator at its essence is a bunch of skills that are going to make you a healthier, happier person.

The goal of every skill is to put in the practice.  If a basketball player wants to get better at shooting, he needs to practice the skill of shooting every day.  

FF Accelerator Overview

  1. Practice your skill, one at a time
  2. Check-in each morning
  3. Learn about your skill
  4. Ask for help when you need it

Just like a basketball player has a coach to help improve his skills, you have coaches that are watching over how your skill development is going.  Some skills are going to be easier than others and that is okay.  

The final piece, every Saturday or Sunday you are going to fill out your weekly reflection, and at the end of every month, you will have a progress check.   A link to a Google Form will be in the lesson on those days and reflections shouldn’t take more than 5-10 minutes to fill out.  

The purpose of the weekly reflection is to see how you are doing with more open-ended questions.  It gives you a chance to review your week and is also a time to set your intentions for the following week.  This is a very powerful practice.

At the end of every fourth week for those that would like,  I encourage you to do a body composition, take some measurements or step on the scale.  This isn’t required but encouraged.  You will also receive a form where you will answer subjective questions about how you feel you are progressing.  

These two check-in points are VERY important so don’t skip over them.  You joined FF Accelerator for a reason and this is a major part of the program.  

Thank you for choosing us to walk with you on your journey.  Remember, this is your journey, we are simply here to assist and support you in any way we can.

Tomorrow you will get your first practice, food journal.

What you can do today is find a small notebook that has lots of room in it.  If you need one, we have lots of them at Functional Fitness just ask one of the coaches for an orange food journal.

For the next 5 days starting tomorrow, you will record everything you eat.  If it goes down into your stomach, it goes on paper.  I get it, having to write down everything you eat can get annoying, so that is why we are only doing it for 5 days.  

We will come back to the food journal every few months or so to see how things are going; that is why I don’t want you to use blank sheets of paper.  They will inevitably get lost.  Find yourself a notebook and bookmark it as a food journal only.

A New Era….

The era of just providing workouts is coming to an end.

The time when a client books an appointment –> they come in for their session –> you deliver a kickass service –> then there isn’t much to worry about until the client comes back for their next session –> is becoming obsolete.

Also, as 1 on 1 training is becoming more and more rare and we are seeing trainers moving to semi-private, small group, or even bootcamp numbers.  The bigger the groups, the less time for small talk coaching during rest periods. 

On top of this, the client is becoming much more sophisticated, and that’s a good thing.

Clients aren’t looking to just come in and get their butt kicked anymore.  Don’t get me wrong, they still want a great workout, but they want the complete solution.  They are hearing about corrective exercise and want to move better.  They are getting interested in relaxation and recovery.  They are seeking nutrition advice. Not just another meal plan, but a process to getting them eating healthier.  And what I hear the most, they are seeking more accountability.  

Are you prepared to be that for them, without killing yourself slowly in the process?

The vast majority of people that opt for hiring a coach are looking to lose some LBs, you know this.  

If all we did was run someone through training sessions without any regard for nutrition or accountability chances are we are not going to be very successful.  

It’s too hard to get the equation right.  We can’t create a significant energy debt through exercise alone.  Looking at the energy expense pie each day, exercise makes up such a small portion of our overall calorie burn that getting another 200-400 kcal out of exercise isn’t going to have a great effect.

Especially since exercise can increase hunger and cause us to eat more, negating the whole calories burned through exercise piece altogether.

And in case you need more convincing here is a good piece in Scientific American called “Can You Lose Weight With Exercise Alone.”

So, we might be with someone three hours per week. That gives them 165 other hours to reverse what we are trying to do.  

Nowadays, the coaching doesn’t stop when the client leaves your sight if you are going to have successful clients.  Herein lies the catch 22 and one reason why I think burnout is so high in the personal training world.  

Being on call 24/7 and reacting to clients can get extremely overwhelming and lead to burn-out quick.  I know exactly how this feels and can sympathize with anyone going through it.  

It’s easy to do everything when you have 5 clients, but when that number gets to 10 or 20 or you start hiring others to help you, the little things you were able to do at one point you don’t have the man-hours or the mental capacity to keep doing.

This is where systems and technology can fill the gap of the other 165 hours.  Our goal as coaches is not to CONTROL everything that our clients do but rather “nudge” them in the right direction.  

Systems are critical here.

  • Having an exercise system and templates so you don’t have to start with a blank sheet of paper each time.
  • Have a nutrition system so that the client is getting information in a systemized way and not getting overwhelmed.
  • Having an accountability system so you know exactly how your client is doing rather than having to wait till they come in for their next session.
  • Having business systems so you business runs smoothly.  This is a book in and of itself.  

This is a long road we don’t need to go down right now but I think you get the picture.

The times are changing and the level of service is being taken to another level.

Yes, the shouting was necessary, I got excited…I wanted to shout it from a mountain, but I didn’t have a mountain I had a blog headline.

Yes, update time gets me that excited.  


Because every update makes HC just a little bit better and a better technology means more impact for the coaches that use it.

Below are the things we updated, fixed, or built from the ground up.

1. Multi Select Dropdown

You can do mass actions right from the client page.  You could do this before, but it was ugly…..we made it prettier now.


Once you click the little white checkbox next to a client, a slick box will pop up that will give you actions you can perform on the client.  This pop-up box was a really cool addition by our developers.


Click, now you see it, unclick, now you don’t!

The client actions you can take have been expanded as well.  You can…

  • Create a group
  • Reassign to a new program
  • Add to an existing group
  • Abandon programs
  • Re-send welcome email

2. Gym Labeling

Our end goal with Habit Catalyst is to make your brand stand out more so the client is very clear that the information is coming from you.  We are moving much of HC’s branding to the bottom and just using “powered by Habit Catalyst.”  

So, we did a few things to move closer to this goal in the last update.  We are also making a few more changes to improve the look that will go to the app store Friday or Monday.  Stay tuned!

You now have the ability to upload your logo.  You can do this in “My Account.”

                   RANT:  For the love of Shiva don’t upload a poor pixelated picture.  We are working on some size restrictions so your logo looks extra pretty on a phone. If you need some help with a picture please email, but try it first on your own.  We can help with this.    

The logo will appear on the habit check-in screen on the app (see below) and your gym name will appear across the top of the app (see below) and in the top left corner of the client-facing browser.  This definitely isn’t finished, but it’s a step in the right direction.



3.  Push Notification on Day 1

The system used to send an email on Day 1 no matter what, even if someone had downloaded the app and logged in.  Now, if someone downloads the app and enters in their unique code they will get pinged on their phone, rather than through email, to read the first lesson.

4.  Fixed Bugs with Groups

The group feature needed a tune-up.  We took it to the mechanic and had him give it a once over.  Like any tune-up, we found a bunch of things wrong and our bill was a little more than expected. Ever had this experience at your local auto mechanic? Go in for an oil change and come out with new brake pads and $200 for shop wipes? $200 for shop wipes…..they better have been made of kitten fur.

Here are the details…..

  1. The reporting is much more accurate.  
  2. If you abandon a program of someone in a group they get automatically kicked out of the group.  
  3. You can delete groups…..finally
  4. Clients are alphabetized so it’s easier to add and remove clients from groups

5.  TWO New Done-For-You Programs

At the end of this week, we will be making two new done-for-you programs available to our premium users.  A 6-week lifestyle focused program and a 6-week transformation program. 

The Lifestyle Program is 6 weeks of lifestyle based habits complete with content.

The practices are…

  1. No screens after 9pm (or within 30 minutes of going to bed)
  2. Spend 7 hours in your bed
  3. Write 3 gratitudes every day
  4. 10 minutes of meditation each day
  5. 15 minutes of activity outside every day
  6. Plan and Prepare for the day the night before

The Transformation Program is based on the Transformation Challenge I will be running at Functional Fitness in September.  It’s a 6-week challenge and you can use it as is or use it as starting point in creating your own challenge.


This challenge has all brand new content, different from anything else we have written.  

We have also created a done-for-you manual on how to run the perfect Transformation Challenges complete with everything you will need right down to the forms clients fill out.  We are going to be selling this manual for $299 in the near future but because we love you as a user you can get it for free but only for a limited time.  It’s not quite done yet, but our premium users will be getting and email about it soon.

Also, the Transformation Challenge Program in Habit Catalyst will only be available for FREE for about a month.  This program is so good it’s going into the marketplace and will be available for purchase.

                                 AWESOME SAUCE: Because you are an early adopter you get it for free so make sure to download it before the middle of September.  


So, what are we working on NEXT?

One thing I hate about software companies is that you never know what they are working on.  You put in requests for features but never really know if they are actually listening to what you are saying.  In an effort to be more transparent, here is what we are working on next.  

Because we are a small start-up and don’t have the staffing or funds to do massive renovations, we have to pick and choose our battles.

A Marketplace

The most time-consuming part of Habit Catalyst is creating content.  What if, experts in their respective fields created compelling content, then the rest of us could just purchase that content from them and use it with our clients.

You asked and we are in the process of delivering.  This is going to be the coolest thing since…..amazon?

Re-configuring Reports

I believe emailed reports are a great concept but the execution was sub-par.  These were created very early in the development process and need a revisit.  As coaches, we don’t have a ton of time.  This very thought drives a lot of my thinking at Habit Catalyst.  How can we provide the most relevant information quickly to coaches so they can keep clients on track instead of having to look for information.  

Soon we will be changing the “client no check-in” to “At-Risk Clients.”

HELP:  If anyone has a better name than “At-Risk Clients” please email me back.  

Basically, if a client does NOT check-in or answers NO they will get an X, if you get 3 X’s in a row you show up on the “At-Risk Clients” report and a coach better be reaching out to you soon.

NOTE:  You will be able to change this parameter to fit your business.  Instead of 3 days you can pick 2, 4, 5, 6, 7, 100 days before they show up on the report. (I don’t suggest 100 or even anything over 3 for that matter)

Motion vs. Action

Motion vs. Action

When you first look at it you might not think there is a big difference between the two. This is a mistake that a lot of people make though.

They cannot tell the difference between when they are in motion vs when they are actually taking action.

What is the difference?

James Clear does a great job of defining the difference between being in motion and taking action. His definitions:

Motion is when you’re busy doing something, but that task will never produce an outcome by itself.

Action, on the other hand, is the type of behavior that will get you a result.

Far too many people are in constant motion thinking they are being super productive when in reality, they never truly achieve anything!

GetFit NH

Why is it that some businesses thrive while others falter?

Sure some people might be smarter or have a better business sense, but we don’t think that is the real reason. The real reason is successful businesses take ACTION!

They don’t sit around and wait for something good to happen to them, they go out and make things happen.

I still believe a bad idea implemented well is better than a great idea that never gets implemented. At least you will know it was a bad idea and learn from it in the future!

This brings us to a gym that has really taken action lately – Get Fit NH.

Dean and Nancy Carlson have taken the Habit Catalyst platform and really created something special that we wanted to share with you today. We got a chance to sit down with Dean and go more in depth into how they are using HC and what it is providing for their gym.

How Is Habit Catalyst Different?

How is Habit Catalyst different?

Many of you have probably seen other habit softwares hitting the market recently.  

This is awesome because it means that coaches are starting to embrace this coaching style and the public at large is responding very favorably to it.  

Each product out there definitely has its strengths and weaknesses, even Habit Catalyst.

Habit Catalyst is not done yet.  We are going to continue to drive this thing forward based on our users and their feedback.  It’s pretty cool right now, but that doesn’t mean we are going to settle.  

Today I want to highlight a few things we are doing differently at Habit Catalyst (HC).


Habit Catalyst is Not a Nutrition Software

Habit Catalyst is not a nutrition software.   This may come as a shock to many of you because we made you believe it was a nutrition software.   I’ll take the blame for that one.

Yes, HC does making coaching habit based nutrition exponentially easier but it’s not solely a nutrition coaching software.  

A better way to look at HC is as an education and accountability software.  HC gives you a better platform to deliver education with an accountability component to make sure the client is taking action.

Let’s look at a quick example…

At my gym, Functional Fitness (FF), we are using Habit Catalyst to supplement our 21 day trial sequence.

Basically, anyone who wants to join FF has to go through a 21 day trial period.  This makes sure that we are the best fit for them and the client is a good fit for us.

Habit Catalyst now guides the client through this process.  It educates them about Functional Fitness, who we are and what we are all about.  We prompt the client to check-in with the software by simply answering if they read the lesson yesterday.

This gets the client interacting with the FF brand from day 1.

No other gym has a special software to meet their clients where they are at…on their cell phones.  And then actually knows and cares if the client follows through with what they are supposed to do.

It’s an instant differentiator!

Accountability is a core principle at FF and this lets us set the stage right from the beginning.

This allows us to over deliver on day 1.

When the prospect becomes a client we seamlessly transition them to one of our nutrition suites.  

Custom Coaching

Most systems on the market force you have to setup a program in advance and then hope it’s the right habit sequence for that particular client.  

It’s kind of like cookie cutter training programs.  One program fits all.

We give you the freedom to choose.  You can decide to run the program as is or tweak it to meet the client’s needs on the fly.

Here is an example.

Some of our clients do individual coaching and have regular meetings with us.  It’s in these meetings that the coach and client decide on the next step forward.  Or more specifically, the next habit they want to work on.

When the client gets input in the decision, a sense of autonomy, compliance is much higher because the client decided on the habit.  

This can pose a problem if you set the program up in advance without the ability to change anything.  

We thought about this.

With HC, you have the ability to change a client’s program on the fly.  You can rearrange habits, you can add new habits, you can even take a habit from a different suite and add it into a current client’s program.  

This allows you, the coach, to easily customize the program for your clients.  And, charge a premium price for it.

Don’t Break the Bank

Most habit based softwares are extremely cost prohibitive for the gym owner or trainer with more than a handful of clients.

Most range from $5 to as much as $20 per client.  There is no way I am going to put 100 clients on something that expensive.

With HC, you never pay more than $1 per client.  The system is meant for volume.  We want you to change the world, not just a few people.

You Control The Content

One important principle behind HC is that the user, YOU, have complete control over the content.

We provide pre-made content but open source all of it.  You are unique, that is why your clients train with you.  Thus, we think your content should be unique too, if you want of course.

Use our content as is, change some of it, or create from scratch.

You choose.  

Our mission is to create the best possible platform for you to coach from.

Are we perfect? Far from it!

Habit Catalyst comes pre-loaded with a 6 month, 12 habit fat loss suite that you can start using with your clients right away.

You can copy and edit this suite so that it fits your gym and reflects your views.

Or you can just create your own set of habits and lessons!

We want to give you the framework but allow you to control the content your clients are receiving. We know that you know your clients better than we do, so you know what they need!



Individual Customization

Along those same lines, we also know that being a good coach means listening to your clients and adjusting to fit them. That is why we give you the ability to individualize and change the order of habits for all of your clients.

Stages of Change
